The data collected on this form is stored on a server and in a computer file by DDMC, 55 rue des Anciens Etangs, B-1190 Brussels, for the purpose of managing EYE2023 volunteers. The legal basis of treatment is GDPR.

The collected data will only be communicated to the following persons: EYE2023 organising team.

The data are kept for 2 (two) years.

You can access your data, change your data, request your data be deleted or exercise your right to limit the processing of your data. At any time, you can withdraw your consent for the processing of your data; you can also object to the processing of your data; you can also exercise your right with regards to the portability of your data. But please note that this will make it impossible for you to continue as an EYE2023 volunteer.

During the European Youth Event and the organisational phase (information meetings, training sessions, etc.), photos and videos of yourself might be taken. These images and videos may be stored on the European Parliament's Multimedia Centre or European Parliament restricted access data servers. Besides, these images could be displayed on the European Parliament websites (e.g. Youth Hub or Europarl), the website dedicated to volunteers and posted on European Parliament social media channels (e.g. EYE Facebook page, Twitter and Instagram).

The images or videos could be used to create promotional material to communicate the European Parliament's youth offer (e.g. leaflets, backdrops, roll-ups, powerpoint presentations) and used internally for reporting purposes. Third parties accessing the European Parliament's online Multimedia Centre may use the said photos and/or videos in compliance with the reuse and dissemination policies of the European Union.

Further to the Code of Conduct you declare that you are agreeing to be photographed and/or filmed by the European Parliament (EP) or his designated service provider and I give the EP my free, specific and informed consent to use without restriction the photos and/or videos bearing my image in order to illustrate or promote the activities or projects, past, present or future, of the European institutions and the European Union. The photos and/or videos bearing your images will be used by the EP for a maximum of five years and archived thereafter. This authorisation is personal and non-transferable and only applies to the above-mentioned media. You understand that you have the right to withdraw this consent at any point in time by written notice on eye@ep.europa.eu. You also understand that, should this withdrawal happen before or during the European Youth Event 2023, this will result in your exclusion from volunteering at the event.

You certify that you are 18 years of age or above and that you have the full legal right to execute this agreement. You have read and understood the implications of this authorisation.

Your above-mentioned personal data will be processed by DDMC Event Design under the responsibility of the European Parliament, represented by the Youth Outreach Unit of Directorate General for Communication, acting as the data controller, only for the aforementioned purposes and on the basis of Regulation (EU) 2018/1725⁽¹⁾. Your personal data will only be used for the purpose indicated above. We will process your personal data based on your consent. We will not share or transfer them to third parties. We will store your personal data for the duration of 6 month after the event foreseen for December 2023.

At any time, you may withdraw your consent (without affecting the lawfulness of the data processing based on prior consent) by writing to eye@ep.europa.eu. If you have a question about our processing, or wish to exercise your right to access, rectify, or erase the data concerning you, or if you wish to restrict or object to its processing, do not hesitate to contact the controller by email to on eye@ep.europa.eu. The EYE (European Youth Event) brings together at the European Parliament in Strasbourg and online thousands of young people from all over the European Union and the world, to share and shape their ideas on Europe’s future. EYE2023 will take place on 9 and 10 June and will feature both in-person and hybrid activities in Strasbourg.

The EYE2023 strives to promote equality, inclusiveness and sustainability with a strong commitment to accessibility for everyone. Our aim is to accommodate the needs of all participants and to implement solutions that make the event sustainable and environmentally friendly.

An EYE volunteer is a person who, without expectation of remuneration, accepts to fulfil a function within the organisation of the EYE2023 event.

Although voluntary, their participation in the organisation of this event is subject to compliance with the rules and procedures relating to its smooth running.

As such, the EYE volunteer agrees to:

• Become a member of the association Eco Manifestation Alsace before participating in the event (the membership gives access to the Association’s insurance cover for volunteers⁽²⁾).
• Be punctual and respect the agreed timetable;
• Fulfil the tasks assigned to them in view of ensuring the smooth running of the event;
• Contribute a minimum of 12 hours of volunteering in total during 9 and 10 June 2023;
• Behave correctly and use the appropriate attire during the event;
• Follow the rules and guidelines provided by the European Parliament and DDMC;
• Share their personal information (surname, first name, date of birth, identity card/passport number, identity photograph, nationality) for security reasons;
• Report any emergency situation to the competent authorities immediately after having protected the health and safety of participants;
• Not engage in an inappropriate behaviours with participants and volunteers;
• Be attentive to participants;
• Contribute to the overall wellbeing of all participants and volunteers at the event;
• Appear in official photos and videos of the event;
• Always consider each personal actions and its effect on the environment in particular by prioritising water and waste management (including recycling), and environment-friendly modes of transport.

In exchange, the organisers commit to providing EYE volunteers with:

• Respectful and courteous treatment;
• A positive volunteering experience and atmosphere;
• A schedule that does not exceed 8 hours of volunteering per day;
• A 11-hour rest period following 8 hours of volunteering;
• A one-hour break per 8 hours of volunteering;
• Meal and drinks per day when they are actively volunteering;
• An EYE2023 T-shirt;
• Guaranteeing their health safety by organising training sessions and volunteer tasks in compliance with all national and local sanitary measures;
• Being attentive to any questions, concerns or difficulties related to the project;
• Keeping them informed of any changes in the event programme;
• Making use of their personal data only in the framework of EYE;
• Delivering a certificate in recognition of their contribution to the organisation of the event;
• Organising a post-EYE party to the extent possible in accordance with national and local sanitary measures.

The activities listed below are strictly prohibited. Any volunteer who violates this code will be subject to disciplinary action and excluded from the event.

• Abandoning a function or a post without an objective reason and without prior notice;
• Abusive language towards a volunteer, participant, speaker, organiser or member of staff of the European institutions;
• Verbal, physical or visual abuse towards a volunteer, participant, speaker, organiser or member of staff of the European institutions;
• Discriminatory language or treatment towards a volunteer, participant, speaker, organiser or member of staff of the European institutions (EYE strives to promote equality, inclusiveness and sustainability with a strong commitment to accessibility for everyone);
• Any behaviour that jeopardizes the safety and security of a volunteer, participant, speaker, organiser or member of staff of the European institutions;
• Possession or use of alcoholic drinks or illegal drugs within the perimeter of the event or participating in the programme under the influence of drugs or alcohol;
• Making any false or slanderous statements about the event, its volunteers, its participants, its speaker or its organisers, be it online or offline.

I have read and understood Volunteering Code of Conduct of the European Youth Event 2023.
I agree to abide by the rules described above and to remove myself from the volunteer programme if I violate any of these rules.





L’EYE (la Rencontre des jeunes européens) rassemble au Parlement européen, à Strasbourg, ainsi qu’en ligne, des milliers de jeunes venus de toute l’Union européenne et d’ailleurs pour formuler et partager leurs idées sur l’avenir de l’Europe. L’EYE2023 se déroulera les 9 et 10 juin et comportera des activités organisées sur place, à Strasbourg , ainsi qu’en mode hybride.

La Rencontre des jeunes européens s’efforce de promouvoir l’égalité, l’ouverture et la durabilité et s’engage tout particulièrement à garantir l’accessibilité à tous de la manifestation. Le but des organisateurs est de répondre aux besoins de tous les participants et de faire en sorte que la manifestation soit écologique et respectueuse de l’environnement.

Un ou une bénévole EYE est une personne qui, sans attente de rémunération, accepte d’accomplir une fonction au sein de l’organisation de l’événement EYE2023.

Être bénévole est un engagement qui implique des droits et des devoirs. Il est donc important de veiller au respect de certaines règles et procédures relatives au bon déroulement de cette manifestation.

Ainsi la ou le bénévole EYE2023 s’engage à :

• Adhérer à l’association Eco Manifestation Alsace avant de participer à l’événement (cette adhésion en tant que membre donne accès à la couverture d’assurance pour bénévole⁽⁴⁾ de cette association) ;
• Arriver à l’heure et respecter les horaires prévus ;
• Accomplir les tâches qui lui sont confiées en vue d'assurer le bon déroulement de l'événement ;
• Contribuer au moins à hauteur de 12 heures de bénévolat les 9 et 10 juin 2023 ;
• Adopter un comportement et une tenue corrects pendant la durée de l’événement ;
• Suivre les règles et les directives établies par le Parlement Européen et DDMC ;
• Communiquer ses informations personnelles (nom, prénom, date de naissance, n° de carte d’identité/passeport, photo d’identité, nationalité) pour des raisons de sécurité ;
• Rendre compte de toute situation d’urgence aux autorités concernées après avoir immédiatement protégé la santé et la sécurité des participants ;
• Ne pas s’engager dans une relation inappropriée avec les participants et les bénévoles ;
• Veiller au bien-être général de tous les participants et des bénévoles de l’événement ;
• Être à l’écoute des participants ;
• Accepter d’apparaître sur les photos et vidéos officielles de l’événement ;
• Considérer chacune de ses actions et ses effets sur l’environnement en privilégiant des moyens de transports écologiques et en observant une bonne gestion de l'eau et des déchets (y compris du recyclage).

Les organisateurs s’engagent auprès de la ou du bénévole EYE2023 à :

• La/le traiter avec respect et courtoisie ;
• Lui assurer une bonne ambiance de bénévolat ;
• Respecter la limite légale de 8 heures de bénévolat par jour ;
• Lui assurer ;
  - Une période de repos de 11 heures après 8 heures de bénévolat ;
  - Une pause d'une heure par tranche de 8 heures de bénévolat ;
  - Un repas et des boissons par jour à condition qu’elle/il soit activement engagé/e ;
  
• Lui fournir un T-shirt EYE2023 ;
• Garantir sa sécurité sanitaire en organisant les sessions de formation et les tâches de bénévolat dans le respect de toutes les obligations sanitaires nationales et locales ;
• Être à l’écoute de ses questions, inquiétudes ou difficultés relatives au projet ;
• La/le tenir informé/e des changements de programme de l’événement ;
• Faire un usage de ses données personnelles uniquement dans le cadre de l’EYE2023 ;
• Lui fournir un certificat reconnaissant sa contribution à l'organisation de l'événement ;
• Organiser, dans la mesure du possible et le respect des obligations sanitaires nationales et locales, une soirée après l’EYE2023.

Les activités citées ci-dessous sont strictement interdites et susceptibles d’entrainer des sanctions pouvant aller jusqu’à l’exclusion :

• Délaisser une fonction ou un poste sans raison objective et sans communication préalable ;
• Langage abusif envers d’autres bénévoles, des participants, des orateurs ou des membres de l‘organisation et du personnel des institutions européennes ;
• Harcèlement verbal, physique ou visuel envers d’autres bénévoles, des participants, des orateurs ou des membres de l‘organisation et du personnel des institutions européennes ;
• Langage ou traitement discriminatoire envers d’autres bénévoles, des participants, des orateurs ou des membres de l‘organisation et du personnel des institutions européennes ; (La Rencontre des jeunes européens s’efforce de promouvoir l’égalité, l’inclusion et la durabilité avec un engagement fort en faveur de l’accessibilité pour tous) ;
• Tout comportement mettant en péril la sécurité et sûreté d’autres bénévoles, des participants, des orateurs ou des membres de l‘organisation et du personnel des institutions européennes ;
• Possession ou usage de boissons alcoolisées ou de drogues illégales dans le périmètre de l’événement ou participation au programme sous influence de drogues ou d’alcool ;
• Tout discours faux ou calomnieux envers l’événement, ses bénévoles, ses participants, ses orateurs ou ses organisateurs tant en ligne que hors-ligne.

Je m’engage à respecter les règles décrites ci-dessus et à me retirer du programme de bénévolat si j'enfreins l'une de ces règles.
